Job Description

This position will provide administrative support for several Design Engineering departments including Business Management, Product Management, Business Development, Operations & Sales.

  • Perform administrative tasks including receiving and directing inquiries, copying and distributing documents, and maintaining office supplies.
  • Schedule appointments and make travel arrangements, set up group meetings and other department meetings by reserving rooms/equipment and arranging food service as needed.
  • Support the engineering and business needs focusing on data collection and report generation of key metrics.
  • Create and manage SharePoint sites
  • Manage Concur expense report processes for staff, and train new hires on the program.
  • Compose letters and memorandums from simple verbal directions, or knowledge of associated company policy while establishing and maintaining a high level of quality for all correspondence and spreadsheets.
  • Assist in project development, PowerPoint presentations, and formatting of various types of documents. Prepare flipcharts, create notes from flipcharts.
  • Process Confidential Disclosure Agreements, Distributor Agreements, and other documents between customer, account manager, management, and Legal Department.
  • Support the development and management of various weekly/monthly reports, such as sales activities, and product management activities.
  • Process required paperwork for foreign national employees to visit LORD USA. Prepare international Visa applications and passport renewals.
  • Coordinate scheduling of new hire orientations for the engineering teams.
  • Maintain the managers' electronic calendars and mail. Make appointments in the managers' electronic calendars.
  • Respond to requests for assistance with a helpful, constructive, and pleasant attitude. Proactively seek to off-load routine tasks from Directors and Managers to improve productivity.

  • REQUIRED

    • Possess basic skills in MS Office and Outlook
    • Ability to learn new applications and use databases such as Power BI, Microsoft Dynamics
    • Possess good communication skills, and be able to work well with individuals of all backgrounds and status
    • Ability to work independently, use good judgment, make decisions and handle urgent situations, as needed
    • Must be organized and highly efficient to be able to handle multiple tasks and prioritize job functions

    PREFERRED

    • Certified in MS Office (PowerPoint, Excel, Word)
    • Experience in SAP, SharePoint, Access, PowerBI, Concur, Ariba, and web-based applications



      WORK EXPERIENCE


      REQUIRED

    • 3 years of relevant/similar work experience
    • Experience utilizing various computer applications/systems to include Microsoft Office



      PREFERRED

    • Experience with Microsoft Dynamics CRM
    • Experience with Concur expense software



      EDUCATION



      REQUIRED

    • High School Diploma


      PREFERRED

    • Associates Degree preferred



      LANGUAGE

    • Fluent in English both written and verbal
